Chipperfield Physiotherapist Corp. (“Chipperfield,” “we,” “us,” or “our”), operating as Chipperfield Mobile Physio & Wellness, is committed to handling personal information with care, respect, and discretion.

This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you use our website, contact us, book or receive our services, or otherwise interact with us.

For the purposes of this Policy, “personal information” includes information about an identifiable individual, including personal health information that we collect in the course of providing physiotherapy and wellness services.

1. Scope and Accountability

This Policy applies to personal information under our control in connection with our mobile physiotherapy and wellness services, website, appointment administration, billing, and related communications. It applies whether information is collected in person, by telephone, electronically, or through a third party acting on our behalf.

We are subject to British Columbia’s Personal Information Protection Act (PIPA) and other applicable Canadian laws and professional obligations. Where applicable, the standards of the College of Health and Care Professionals of British Columbia also govern how patient information is collected, used, stored, disclosed, and disposed of.

We have designated a Privacy Officer who is responsible for our privacy practices and for responding to privacy questions, complaints, and requests.

  • Billing and payment information: such as billing address, payment status, insurer or benefit-plan information, and information needed to process or reconcile payment. If payment-card information is processed, it may be handled by an authorized payment-service provider.

  • Communications and feedback: such as the contents of emails, telephone messages, feedback, questions, forms, and other communications you send to us.

2.2 Information Collected Through Our Website

When you visit our website, we or our service providers may collect technical and usage information. Depending on your browser, device, and website configuration, this may include your IP address, browser and device type, operating system, pages or features accessed, referring page, date and time of visit, and cookie or similar-technology preferences.

Please do not send detailed health information through a general website inquiry form or ordinary email unless we have specifically provided you with a secure method for doing so. If you are already a client, please use the communication channel we have advised is appropriate for your care.

With your consent or as otherwise permitted or required by law, we may receive relevant information from a parent or guardian, another health-care provider, a referral source, an insurer or benefit provider, or another person authorized to act on your behalf.

  • Provide, coordinate, document, and manage physiotherapy and wellness services;

  • Schedule, confirm, reschedule, and administer appointments;

  • Communicate with you about your care, appointments, service updates, and reasonable follow-up;

  • Obtain payment, process claims or benefit information where authorized, and maintain related business records;

  • Manage and improve our services, website, operations, and client experience;

  • Protect the security, integrity, and confidentiality of our information, systems, and services;

  • Meet legal, regulatory, professional, tax, accounting, insurance, and record-keeping obligations;

  • Respond to your questions, access or correction requests, or privacy concerns; and

  • Send marketing or promotional communications only where permitted by law and subject to your choices.

7.2 Retention and Secure Disposal

We retain personal information only for as long as reasonably necessary to fulfill the purposes for which it was collected, meet legal and professional record-retention requirements, resolve disputes, and enforce our agreements.

Patient records are retained in accordance with applicable law and professional standards. When personal information is no longer required, we securely destroy, delete, or de-identify it, subject to any legal or professional requirements to retain it.

Subject to applicable law, you may request access to personal information we hold about you and request correction of information that you believe is inaccurate or incomplete. You may also ask how your personal information has been used or disclosed, where applicable.

We will respond within the time required by applicable law and will explain any limitation, fee, or refusal that applies.

You may unsubscribe from non-essential electronic marketing communications by using the unsubscribe mechanism in the message or by contacting us. You will still receive communications that are necessary for your care, appointments, transactions, or our legal obligations.

9. Children’s and Youth Information

We may provide services to children and youth. We collect their personal information only as necessary to provide services, meet legal and professional obligations, or for another purpose authorized by law.

Consent and decision-making for minors will be handled in accordance with applicable law and the individual’s capacity to understand the nature and consequences of the proposed collection, use, or disclosure.
